The Workday Spring 2026 release will go live on Saturday, March 14. This update includes new features and improvements for all Workday users.

New Workday Experience

  • The homepage will have a new centered aligned layout that includes the search bar location.
  • The navigation sidebar buttons will reflect your university’s colors, and links will highlight in gray and underline when you hover over them.

Tab for Withholding Orders

  • This was formerly called Garnishments and was only available by request.
  • Employees can now view their current or past withholding orders directly in Workday.
  • The new Withholding Orders tab will be in the Pay section of your worker profile.

Workday’s Fall 2025 release will go live on Saturday, Sept. 20. The release includes new features and enhancements affecting all Workday users.

What’s new for Fall 2025

This release marks the first major update since the Universities of Wisconsin launched Workday in July 2025. Feature releases happen twice a year, typically in March and September, bringing new functionality, enhancements and fixes.

New features affecting all Workday users include the following:

  • The Global Navigation Menuwill be replaced with a pinned sidebar that remains visible as you move through Workday.
  • New Quick Action buttonson the homepage will let you select common tasks, reports and/or external links for easy access.
  • A new Save iconon task pages will let you quickly save your progress without leaving the page or interrupting your work.

Additional feature releases, including changes for finance, human resources and research administration business processes, are detailed on the.

Training and support

Workday support documents and training materials are being updated to help you easily and quickly adapt to the new features.

In late July, supervisors received a Workday task to complete performance evaluations for their direct reports. Since this differs from what we’ve done with performance evaluations in the past, we wanted to highlight some key information and instructional materials. The process and timeline outlined below does not apply to evaluations for Faculty and Instructional Academic Staff.

Current Task Assignment in Workday

The current task assignment in Workday is requesting that supervisors and employees set up the goals for the upcoming year and confirm (by entry into Workday) the final overall rating scale (from last year) into Workday. Although this feels like an extra step after completing performance evaluations over the past year, it is a necessary one that has to be completed by the supervisor to document what employees will be rated on in July 2026. If this information is not entered into Workday now, there will be no way to finalize the performance evaluation process next year for employees. 

See an outline of the 2025 process, as well as what it will look like going forward in 2026: 

Although the task in Workday appears as if it is asking supervisors to re-evaluate direct reports, it is a shortened version of a performance evaluation. 

The process for 2025 is outlined below: 

  • Supervisor receives task “to complete performance evaluation.” 
  • Supervisor opens the task and confirms and/or modifies job responsibilities. Supervisor also adds goals the employee will be evaluated on for the upcoming year. Supervisor submits. 
  • Employee receives the task to review the job responsibilities and goals; to make comments and suggest edits. Employee submits. 
  • Supervisor receives task to review anything from employee and to confirm the final overall rating from last year. Supervisor submits. 
  • Employee receives task to review this information. Employee reviews and finalizes the goals and overall performance rating from last year. Employee submits. This information is now final.

Supervisors also will upload the previous year’s performance evaluation into Workday.

Annual Timelines

With Workday, all universities will conduct performance reviews on a fiscal year (FY) basis beginning in FY26. The reviews will begin in July of each year following the end of the previous fiscal year and must be completed by Oct. 31. It is important to note that although managers have received the task to complete performance evaluations for the upcoming year (as outlined above), the deadline for finalizing the goals and overall performance rating is not until Oct. 31.  

Rating Scales

All UW campuses will use the same performance review rating scales within Workday:

  • Failing to Meet Expectations
  • Partially Meeting Expectations
  • Meeting Expectations
  • Exceeding Expectations

Per , all employees who work remotely or at an alternate work location, rather than a designated University of Wisconsin-Milwaukee location, are required to complete a Telecommuting Agreement Form each fiscal year. This policy is intended to enhance flexibility in work arrangements while ensuring operational efficiency.

Who is Affected?

Employees, with the exception of faculty and instructional academic staff, who work remotely on a regularly scheduled or full-time basis are required to complete a telecommuting agreement form.

Faculty and instructional academic staff who are assigned a remote work site, work out-of-state, work internationally, or who work remotely and do not have a workspace or office at 51 are required to complete a telecommuting agreement form. More information about faculty and instructional academic staff requirements can be found in Appendix A of the 

How to Submit a Telecommuting Request

To request telecommuting approval, please follow the step-by-step instructions and video:  

Important Changes in Workday:

  • Managers will now receive a prompt asking whether an employee is a “Fieldworker” employee.  
    • A fieldworker is an employee whose official work requires the employee’s presence at various locations other than their headquarters location at least 33% of the time (as a requirement of the position).  
    • This designation is important for tax and travel reimbursement purposes.  
    • For employees designated as fieldworker, the headquarters city should be listed as either the fieldwork location or their home/alternative work location. 
  • Flexible work arrangements cannot be edited after approval. Any changes to your flexible work arrangement will require ending the current arrangement and submitting a new flexible work arrangement for approval. 

Time Frame and Renewal

Remote work arrangements may not be longer than one year. The Telecommuting Agreement Form must be completed each fiscal year. All Telecommuting Agreement Forms expire annually on June 30. Employees currently telecommuting must complete a telecommuting agreement form by Sept. 30

Paychecks and Pay Changes

In Workday, paychecks are called payslips. They’re available to view the Monday before payday.

Benefits

If you are a benefits-eligible employee, you will find an overview of your current benefits costs and details in the Workday Benefits and Pay Hub. Access an overview .

To make changes to your insurance benefits, or to enroll if you are a newly hired or newly eligible employee, you will use My Insurance Benefits, part of the new My Benefits portal provided by the Department of Employee Trust Funds (ETF). The portal is accessed via Workday.

My Insurance Benefits provides secure access to insurance information provided by ETF. In the portal you can: 

  • View detailed information about your benefits enrollments (health, life, disability and spending accounts). 
  • Review and update dependent information. 
  • Make changes to your benefits.

On July 28, the annual performance evaluation process was launched in Workday. All managers and supervisors received a task in Workday to begin the evaluation. Below you will find additional information, resources and tools to support supervisors and employees as we transition to Workday’s Performance Management program.

Standardized Process

Annual performance evaluations for Non-Instructional Academic Staff, University Staff and Limited Appointees are now required to be completed in Workday. The following changes are effective July 2025:

  • Consistent performance rating scale.
  • Standardized templates, with written goals, self-evaluation and standard timeline.
  • Annual performance evaluations will be initiated in July and will rate performance for the prior 12-month period or fiscal year (July 1 to June 30).
  • Annual performance evaluations must be completed by Oct. 1.

All UW campuses will use the same performance review rating scales within Workday:

  • Failing to Meet Expectations
  • Partially Meeting Expectations
  • Meeting Expectations
  • Exceeding Expectations

2025 Timeline

For 2025, the Workday Performance Management process will be modified and abbreviated as we transition from our current process and timelines to the Workday process. The Workday Performance Management process has a deadline ofOct. 31, 2025.

In this pared-down launch, managers will not be required to complete a full performance evaluation. However, managers should be prepared to complete the following:

  • Add, edit and delete job responsibilities. Job responsibilities are automatically loaded from the standard job description otherwise known as the TTC job title.
  • Identify goals for the 2026 Fiscal Year (July 1, 2025, to June 30, 2026).
  • Choose an Overall Rating for 2025 Fiscal Year (primarily based on evaluation completed in the prior performance cycle, due April 30, 2025).
  • Note: For this initial year, “Partially Meeting Expectations” will be the minimum threshold for establishing solid performance.
  • Upload existing performance evaluations (optional).

Employees will have an opportunity to complete or upload their self-evaluation from the prior evaluation period due April 30, 2025.

Next Steps

The annual evaluation will be initiated by the assigned supervisor/manager. Performance Management Tasks will be found under “Awaiting your Action” on your Workday homepage.

For employees holding multiple appointments, the evaluation will be managed from the primary job, with a separate task to “Request Feedback” from the supervisor for the secondary role. The FY26 responsibilities and goals will remain in Workday for use during the July 2026 annual performance evaluation period.

Evaluations for other employee types

  • Faculty and Instructional Academic Staff performance evaluations will remain unchanged for this fiscal year.
  • Student Assistant, Employee-in-Training and short-term (less than one year) University Staff and Academic Staff positions have an option to use an annual ad-hoc evaluation.
  • Performance evaluations for Student Hourly and Contingent Workers are not completed in Workday.

In Workday, paychecks and earning statements are called payslips. To view and print your payslips, follow these instructions:

Payslips are available four days prior to the pay date.  

Gross Pay and Net Pay

To review your gross and net pay:

  • From the Menu, click Benefits and Pay Hub, select the Pay section, and then select the Payments tab in the dropdown menu.  
  • Scroll down to the All Payslips section, where you can find the gross and net pay listed.  
  • To view the gross and net pay on your payslip, scroll down to the Current and YTD Totals section.  

Incorrect Pay

If your paycheck appears incorrect:

  • Review your timesheet for the corresponding pay period and make necessary updates.  
  • Ensure your time and/or absence requests are approved by your supervisor. 
  • Any corrections will be reflected in the next paycheck.

Accessing Prior Paychecks and Tax Statements

In HRS, active employees are able to view prior earning statements (January 2019 – June 2025) and prior tax forms issued until 4/15/26.

How to view prior paychecks/earning statements:

  • Sign into

  • Click the earning statement to view/print. 
  • Note: Use the filter icon to change the date range.

Benefits in My Insurance Benefits

My Insurance Benefits is a secure online application that provides access to insurance information administered by the Department of Employee Trust Funds.

Access My Insurance Benefits from the Benefits and Pay Hub under the Suggested Links on the left-hand side. In My Insurance Benefits you can view detailed information about your benefits enrollments (health, life, disability and spending accounts), review and update dependent information, or make changes to your benefits.

Before you can access My Insurance Benefits for the first time, you will need to complete a one-time registration and create a login using your personal email address and personal identification information. This will be your long-term credentials to view and manage most of your benefits. Visit the website for more information.

Your current benefit information from the prior human resources and benefits system has been transferred to Workday and My Insurance Benefits.

Supplemental Retirement in Workday

You can enroll in the UW 403(b) Supplemental Retirement Program (SRP) or make changes to your contribution election in Workday. Find job aids to assist you with these changes on the in the Benefits drop down.
