  {"id":51,"date":"2014-10-09T11:05:48","date_gmt":"2014-10-09T16:05:48","guid":{"rendered":"https:\/\/uwm.edu\/union\/?page_id=817"},"modified":"2026-03-26T12:00:37","modified_gmt":"2026-03-26T17:00:37","slug":"faqs","status":"publish","type":"page","link":"https:\/\/uwm.edu\/union\/event-services\/faqs\/","title":{"rendered":"FAQs"},"content":{"rendered":"\n<section class=\"uwm-u-pb-80 uwm-u-pt-0\"><div class=\"uwm-l-container--base uwm-l-container--overflow-hidden\">\n<p>Below is a list of common questions brought to Union Event Services.<\/p>\n\n\n\n<div class=\"uwm-p-accordion\" data-accordion-prefix-classes=\"uwm\" data-accordion-cool-selectors=\"1\"><button class=\"uwm-p-accordion--toggle-button size-p-md\">Expand All<\/button>\n<div class=\"uwm-p-accordion--header\">Who can book space in the 51ÁÔÆæ Student Union?<\/div><div class=\"uwm-p-accordion--panel\"><div class=\"uwm-p-accordion--panel-inner uwm-u-clear\">\n<p>To obtain space within the Student Union you must be an active 51ÁÔÆæ student organization, 51ÁÔÆæ department, or you may be an outside organization that has been sponsored by a 51ÁÔÆæ organization and\/or department. You must be a pre-authorized user for your 51ÁÔÆæ student organization or department in order to make reservations.<\/p>\n<\/div><\/div>\n\n\n\n<div class=\"uwm-p-accordion--header\">I am a member of a 51ÁÔÆæ organization\/department, how do I go about reserving space?<\/div><div class=\"uwm-p-accordion--panel\"><div class=\"uwm-p-accordion--panel-inner uwm-u-clear\">\n<p>Before reserving space you must be considered a contact for your organization or department. This is mandatory in order to reserve space through Union EVS. Once Event Services (EVS) confirms that you are a contact, you may contact a reservationist via phone (414-229-4828), email (reservat@uwm.edu), or by coming into the office (Student Union 300A) with the date and time of your desired event and the number of participants that you expect to be in attendance.<\/p>\n<\/div><\/div>\n\n\n\n<div class=\"uwm-p-accordion--header\">Can I reserve space online?<\/div><div class=\"uwm-p-accordion--panel\"><div class=\"uwm-p-accordion--panel-inner uwm-u-clear\">\n<p>Authorized users can reserve space by access the <a href=\"https:\/\/ems.sa.uwm.edu\/EMSWebApp\/\">51ÁÔÆæ EVS<\/a> virtual booking website.<\/p>\n\n\n\n<p>To make a reservation you can also contact the Event Services department at 414-229-4828, reservat@uwm.edu, or stop by the EVS office on the third floor of the Student Union.<\/p>\n<\/div><\/div>\n\n\n\n<div class=\"uwm-p-accordion--header\">I know I would like to have an event, but I\u2019m not sure where to start\u2026<\/div><div class=\"uwm-p-accordion--panel\"><div class=\"uwm-p-accordion--panel-inner uwm-u-clear\">\n<p>The 51ÁÔÆæ Event Services office can answer any questions that you may have as well as discuss the process of event planning with you.<\/p>\n<\/div><\/div>\n\n\n\n<div class=\"uwm-p-accordion--header\">I am not part of the University of Wisconsin \u2013 Milwaukee community, how can I reserve space?<\/div><div class=\"uwm-p-accordion--panel\"><div class=\"uwm-p-accordion--panel-inner uwm-u-clear\">\n<p>You must obtain sponsorship through a recognized 51ÁÔÆæ student organization or campus department before you are allowed to reserve space within the 51ÁÔÆæ Student Union (or any other campus facility). Clients that are not part of the 51ÁÔÆæ campus community must work with Event Services to take additional steps to reserve a space.<\/p>\n<\/div><\/div>\n\n\n\n<div class=\"uwm-p-accordion--header\">How far in advance can I reserve space?<\/div><div class=\"uwm-p-accordion--panel\"><div class=\"uwm-p-accordion--panel-inner uwm-u-clear\">\n<p>51ÁÔÆæ Event Services reserves all meeting rooms one semester at a time. All large event spaces can be booked three years in advance. <\/p>\n\n\n\n<p>In some instances, student organizations are able to reserve classroom spaces if the Student Union does not have any space available. Classrooms are able to be booked at the start of the third week of the semester.<\/p>\n<\/div><\/div>\n\n\n\n<div class=\"uwm-p-accordion--header\">What if I want to book space on the 51ÁÔÆæ campus, but not in the 51ÁÔÆæ Student Union?<\/div><div class=\"uwm-p-accordion--panel\"><div class=\"uwm-p-accordion--panel-inner uwm-u-clear\">\n<p>Student organizations can only request space outside the 51ÁÔÆæ Student Union if there is not space available in the Student Union. In this situation, student organizations must still request space through the Event Services office. 51ÁÔÆæ departments must contact the Space Allocation Authority for each space on campus. Outside organizations wishing to use 51ÁÔÆæ classroom space must first contact 51ÁÔÆæ Union Event Services.<\/p>\n<\/div><\/div>\n\n\n\n<div class=\"uwm-p-accordion--header\">How much will this cost?<\/div><div class=\"uwm-p-accordion--panel\"><div class=\"uwm-p-accordion--panel-inner uwm-u-clear\">\n<p>Costs vary depending on the event\u2019s nature, size, scope and other details. To obtain a quote please contact Event Services.<\/p>\n<\/div><\/div>\n\n\n\n<div class=\"uwm-p-accordion--header\">What do I pay for?<\/div><div class=\"uwm-p-accordion--panel\"><div class=\"uwm-p-accordion--panel-inner uwm-u-clear\">\n<p>Please see the <a href=\"https:\/\/uwm.edu\/union\/event-services\/#pricing\">pricing section<\/a> of the 51ÁÔÆæ Event Services webpage for this information.<\/p>\n<\/div><\/div>\n\n\n\n<div class=\"uwm-p-accordion--header\">What if I need parking for my event?<\/div><div class=\"uwm-p-accordion--panel\"><div class=\"uwm-p-accordion--panel-inner uwm-u-clear\">\n<p>If your event requires parking assistance, student organizations may contact their Event Services event planner to discuss pre-paid parking options. 51ÁÔÆæ departments may contact the Parking and Transit office at 414-229-4000 to make appropriate arrangements for parking needs.<\/p>\n<\/div><\/div>\n\n\n\n<div class=\"uwm-p-accordion--header\">How does selling tickets in advance or charging admission work in the Union?<\/div><div class=\"uwm-p-accordion--panel\"><div class=\"uwm-p-accordion--panel-inner uwm-u-clear\">\n<p>Student orgs wishing to sell tickets in advance are required to work with Event Services ticketing software. Event Planners can guide you through this process. <\/p>\n\n\n\n<p>Per 51ÁÔÆæ Union guidelines, events charging a registration fee must use a cash register and cashier staffed by the 51ÁÔÆæ Student Union. The EVS office will make the appropriate arrangements to supply these to you.<\/p>\n<\/div><\/div>\n\n\n\n<div class=\"uwm-p-accordion--header\">What if I want food at my event?<\/div><div class=\"uwm-p-accordion--panel\"><div class=\"uwm-p-accordion--panel-inner uwm-u-clear\">\n<p>Any food requests for spaces within the 51ÁÔÆæ Union must be considered and processed by the 51ÁÔÆæ Restaurant Operations department, located on the 3rd floor of the Student Union (aisle A).<\/p>\n<\/div><\/div>\n\n\n\n<div class=\"uwm-p-accordion--header\">My student organization is having a bake sale, is that okay?<\/div><div class=\"uwm-p-accordion--panel\"><div class=\"uwm-p-accordion--panel-inner uwm-u-clear\">\n<p>Bake sales are permitted by the Student Union and 51ÁÔÆæ Event Services for any student organization. Please contact Event Services to reserve a table for your bake sale.<\/p>\n<\/div><\/div>\n\n\n\n<div class=\"uwm-p-accordion--header\">Can I book a flight, travel or lodging arrangements through 51ÁÔÆæ EVS?<\/div><div class=\"uwm-p-accordion--panel\"><div class=\"uwm-p-accordion--panel-inner uwm-u-clear\">\n<p>The only reservations that are processed by 51ÁÔÆæ Event Services are for event spaces on the 51ÁÔÆæ campus. No other reservations are taken through the department. Student organizations should connect with Student Involvement for any questions about flight, travel, or lodging arrangements. <\/p>\n<\/div><\/div>\n\n\n\n<div class=\"uwm-p-accordion--header\">What is an Atrium Booth?<\/div><div class=\"uwm-p-accordion--panel\"><div class=\"uwm-p-accordion--panel-inner uwm-u-clear\">\n<p>An atrium booth is often used by 51ÁÔÆæ student organization and departments for information distribution, fundraising, or recruitment. <\/p>\n\n\n\n<p>These booths are located on the campus level of the 51ÁÔÆæ Union across from the main passenger elevators. 51ÁÔÆæ Event Services also reserves booth space in the transition space between the Student Union and Lubar and Bolton Halls. In total there are 14 Atrium Booths.<\/p>\n\n\n\n<p>Outside clients may only use an Atrium Booth for the purposes of employment recruitment, with proper sponsorship and payment. No commercial solicitation is permitted at the Atrium Booths, or anywhere else in the Student Union.<\/p>\n<\/div><\/div>\n\n\n\n<div class=\"uwm-p-accordion--header\">Can I hold a food sale fundraiser?<\/div><div class=\"uwm-p-accordion--panel\"><div class=\"uwm-p-accordion--panel-inner uwm-u-clear\">\n<p>Only student organizations are allowed to hold food sale fundraisers on campus. These fundraisers are not allowed inside any campus buildings and are only allowed outside.
