Please see the following updates and changes that will impact hiring and payment of student employees. Please review and familiarize yourself with this information, as well as the <a href=\"https:\/\/uwm.edu\/workday\/\" target=\"_blank\" rel=\"noreferrer noopener\">51ÁÔÆæ Workday Website<\/a>, to better support your student employees through the transition.<\/p>\n<\/div>\n\n\n\n<div class=\"uwm-l-col\"><\/div>\n<\/div>\n\n\n\n<div style=\"height:70px\" aria-hidden=\"true\" class=\"wp-block-spacer\"><\/div>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"h-student-hourly-hiring-processes\">Student Hourly Hiring Processes<\/h4>\n\n\n\n<div class=\"uwm-l-row\">\n<div class=\"uwm-l-col uwm-l-col--5\">\n<p>The student hourly request process for hires, job changes, and terminations remains the same, utilizing the request forms found in the Student Employee Request Forms section below.<\/p>\n\n\n\n<p>For new hires, \u201cPaperwork Date\u201d is no longer available as a projected start date. <strong>A specific start date will now be required.<\/strong> When hiring, please discuss the Form I-9 requirement of presenting valid, original identification in person to HR to ensure the student will be able to do so before the desired start date. If the student is currently working in another UW position, new onboarding tasks will not be required.<\/p>\n\n\n\n<p class=\"uwm-c-link--external\"><a href=\"https:\/\/www.uscis.gov\/sites\/default\/files\/document\/forms\/i-9.pdf\" target=\"_blank\" rel=\"noreferrer noopener nofollow\">USCIS Form I-9<\/a><\/p>\n<\/div>\n\n\n\n<div class=\"uwm-l-col uwm-l-col--5 uwm-l-offset--1\">\n<p>With the exception of the requirement to present valid, original identification in person to HR for the I-9 employment verification, all other onboarding tasks are completed within the Workday system.<\/p>\n\n\n\n<p class=\"uwm-c-link--external\"><a href=\"https:\/\/www.uscis.gov\/i-9-central\/form-i-9-acceptable-documents\" target=\"_blank\" rel=\"noreferrer noopener nofollow\">USCIS Form I-9 Acceptable Documents<\/a><\/p>\n\n\n\n<p>An \u201cEmployment End Date\u201d is now required for all student hires. If you do not have a specific end date, it is recommended to use the end of the current academic year.<\/p>\n\n\n\n<p>Official supervisors of student hourly employees must be a professional staff or faculty member; however, student supervisors may assist with supervision. Once I submit the request, when can my new student hire start?<\/div><div class=\"uwm-p-accordion--panel\"><div class=\"uwm-p-accordion--panel-inner uwm-u-clear\">\n<ul class=\"wp-block-list\">\n<li>New hires can start on the start date submitted on the hire request as long as they have completed the Form I-9 or they are a current, active employee who already completed onboarding.<\/li>\n\n\n\n<li>Submitted start dates for brand new employees must take into consideration when the student will have the appropriate valid, original documents to present in person to HR.\n<ul class=\"wp-block-list uwm-c-list--cleanlist\">\n<li class=\"uwm-c-link--external uwm-u-mt-10\"><a href=\"https:\/\/www.uscis.gov\/i-9-central\/form-i-9-acceptable-documents\" target=\"_blank\" rel=\"noreferrer noopener nofollow\">USCIS Form I-9 Acceptable Documents<\/a><\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>Supervisors may track the status of their new employees via the Student Hourly SharePoint Portal and the My Team Management Dashboard in Workday.\n<ul class=\"wp-block-list uwm-c-list--cleanlist\">\n<li class=\"uwm-u-mt-10\"><a href=\"https:\/\/kb.wisconsin.edu\/workday\/internal\/144745\" target=\"_blank\" rel=\"noreferrer noopener nofollow\">My Team Management Dashboard<\/a><\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/div><\/div>\n\n\n\n<div class=\"uwm-p-accordion--header\">3. How do I submit a student transferring from one position to another?<\/div><div class=\"uwm-p-accordion--panel\"><div class=\"uwm-p-accordion--panel-inner uwm-u-clear\">\n<ul class=\"wp-block-list\">\n<li>A Student Hire Request should be submitted for the new position and include a note of which position the student is transferring from to the new position.<\/li>\n<\/ul>\n<\/div><\/div>\n\n\n\n<div class=\"uwm-p-accordion--header\">6. What should I know about my student before I make a contingent job offer?<\/div><div class=\"uwm-p-accordion--panel\"><div class=\"uwm-p-accordion--panel-inner uwm-u-clear\">\n<ul class=\"wp-block-list\">\n<li>Their legal names (correct spelling is essential) as HR needs this information to properly process their hire.<\/li>\n\n\n\n<li>Their 51ÁÔÆæ email, as that is how HR will communicate with them.<\/li>\n\n\n\n<li>If they currently have an active UW position in Workday:\n<ul class=\"wp-block-list\">\n<li>If yes, their start date can be as of the submission date of the hire request.<\/li>\n\n\n\n<li>If no, a start date should be determined that works for both parties, and include consideration of when the student will be able to present their valid, original documents to HR for the Form I-9.<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>If they are Federal Work Study eligible (optional).<\/li>\n<\/ul>\n<\/div><\/div>\n<\/div>\n<\/div>\n\n\n\n<div class=\"uwm-l-col\">\n<div class=\"uwm-p-accordion\" data-accordion-prefix-classes=\"uwm\" data-accordion-cool-selectors=\"1\"><button class=\"uwm-p-accordion--toggle-button size-p-md\">Expand All<\/button>\n<div class=\"uwm-p-accordion--header\">9. When can international students begin working?<\/div><div class=\"uwm-p-accordion--panel\"><div class=\"uwm-p-accordion--panel-inner uwm-u-clear\">\n<ul class=\"wp-block-list\">\n<li>International students may begin working as of the Hire Request submission date if already a current, active employee or after they present their valid, original documents to HR for Section 2 of the Form I-9 if they are a brand-new employee. This is the same as all other student employees; however, brand new international student employees must obtain their Social Security Number and then bring the SS Card to Engelmann Hall 125 within 90 days of their hire date.<\/li>\n<\/ul>\n<\/div><\/div>\n\n\n\n<div class=\"uwm-p-accordion--header\">10. How long after graduation can a student employee remain employed?<\/div><div class=\"uwm-p-accordion--panel\"><div class=\"uwm-p-accordion--panel-inner uwm-u-clear\">\n<ul class=\"wp-block-list\">\n<li>Resident student hourly employees may continue working up to the final day of the pay period they are graduating in. If a student can show evidence of enrolling the next term as a grad student, they may continue employment.<\/li>\n\n\n\n<li>International student employees may only work until the last day of the term they are graduating in.<\/li>\n<\/ul>\n<\/div><\/div>\n\n\n\n<div class=\"uwm-p-accordion--header\">11. May I start a student employee before they complete the pre-employment requirements (CBC, Onboarding Paperwork)?<\/div><div class=\"uwm-p-accordion--panel\"><div class=\"uwm-p-accordion--panel-inner uwm-u-clear\">\n<ul class=\"wp-block-list\">\n<li>New student employees may begin working on or after the day they complete Section 2 of the Form I-9. If their position is a Position of Trust, they must complete the Criminal Background Check (CBC) within forty-five (45) calendar days of their start date.<\/li>\n\n\n\n<li>Students who are currently working in another 51ÁÔÆæ position may begin working on or after the day the New Hire Request is submitted to HR.<\/li>\n\n\n\n<li>If a student worked for 51ÁÔÆæ in the past, but does not currently have an active position, new onboarding is required, including the Form I-9.<\/li>\n<\/ul>\n<\/div><\/div>\n\n\n\n<div class=\"uwm-p-accordion--header\">12. Can a student hourly employee work more than 40 hours per week (overtime)?<\/div><div class=\"uwm-p-accordion--panel\"><div class=\"uwm-p-accordion--panel-inner uwm-u-clear\">\n<ul class=\"wp-block-list\">\n<li>They may work overtime only during the summer and only if the department\u2019s budget allows.<\/li>\n\n\n\n<li>Students holding multiple jobs must remain under 40 hours per week across all jobs. If there is an expectation or possibility of working beyond 40 hours per week, please work with your HR Business Partner to assess FLSA status and determine compliance requirements. All departments must be made aware of the possibility of overtime.<\/li>\n<\/ul>\n<\/div><\/div>\n\n\n\n<div class=\"uwm-p-accordion--header\">14. What time-entry methods are available in Workday for employees?<\/div><div class=\"uwm-p-accordion--panel\"><div class=\"uwm-p-accordion--panel-inner uwm-u-clear\">\n<ul class=\"wp-block-list\">\n<li>\u201cEnter Time\u201d \u2013 This method is equivalent to the Timesheet method from HRS and allows students to log into Workday and enter their \u201cin\u201d and \u201cout\u201d times for any given day during a pay period.<\/li>\n\n\n\n<li>\u201cCheck In\/Out\u201d \u2013 This method is similar to the WebClock method from HRS and is used by employees to punch \u201cin\u201d and \u201cout\u201d for each shift in Workday.<\/li>\n\n\n\n<li>Hours from all positions populate on one timesheet and are visible to the student\u2019s supervisor(s). Supervisors should only review, edit, and approve hours for the position that reports to them.<\/li>\n<\/ul>\n<\/div><\/div>\n\n\n\n<div class=\"uwm-p-accordion--header\">16. Can a non-51ÁÔÆæ student work in a student hourly position at 51ÁÔÆæ?<\/div><div class=\"uwm-p-accordion--panel\"><div class=\"uwm-p-accordion--panel-inner uwm-u-clear\">\n<ul class=\"wp-block-list\">\n<li>Yes, however, preference should first be given to 51ÁÔÆæ students.
